Medical Office Manager Featured

Seeking a full-time Office Manager to oversee daily operations of a gastroenterology medical office. Position reports to managing physician. Prior experience with operating systems (EMR), physician and patient scheduling, medical billing (both office and hospital), and staff management are required.

Principal Duties and Responsibilities:

Assists in the development and presentation of the clinical activities budget, including staffing, support plan and equipment needs projections
Collaborates with various departments to prepare and recommend credentialing qualifications, ensure adherence to compliance and legal standards
Creates recommendations for job descriptions and evaluation standards for all clinical personnel including assessing growth
Conducts disciplinary and termination meetings after consulting with HR, assists staff in the interpretation of policies and procedures
Leads/participates in periodic review of practice management functions to implement workflows/initiatives relating to fiscal responsibility, staff engagement, customer satisfaction and improved patient experiences relating to: reception, phone triage, patient flow, outreach services, laboratory, follow-up on missed appointments, referral tracking, and other office activities.
Reviews patient satisfaction social media reviews and aligns operations strategy to drive increasing patient satisfaction, functions as escalation point for patient complaints
Provides clear direction to achieve goals, creating an environment that fosters team commitment and employee engagement
Ensures activities are appropriately integrated into the strategic direction, as well as the mission and values of the company
Executive reporting, program documentation, physician engagement and interdisciplinary team collaboration
Meet with physicians regularly regarding any office issues and/or new ideas and suggestions to ensure office growth and financial viability.
Ensure regular communication with management regarding systems to ensure efficient handling of billing protocols and EMR procedures.
Ensure that physician schedules, including vacation absences, are adequately maintained.
Ensure that physician office visit appointments and procedure appointments are full.
Monitor office expenditures and purchase office supplies as needed.
Supervise the front and back office staff in order to ensure the smooth operation of the office.

Ability to analyze problems, develop solutions and follow through on implementation.
Ability to establish and maintain effective patient customer service principles.
Ability to maintain effective working relationships with medical staff, co-workers, and patients.
Proven strong organization and time management skills with the ability to meet deadlines and handle stressful situations.
Ability to work in a relatively unsupervised environment with a high degree of accuracy.

Three years’ experience in a health care setting with three years of supervision/management experience.
College degree or equivalent combination of education and work-related experience.
Successful demonstration of training and facilitation and/or presentation skills
Comprehensive knowledge of electronic billing systems, and its relationship to physician reimbursement
Knowledge of medical billing concepts and medical terminology.
Demonstrated knowledge of computer systems
Excellent written and verbal communication skills
