Events Coordinator, Museum Support Groups – Full Time
The Santa Barbara Museum of Art seeks a qualified Events Coordinator, Museum Support Groups to provide administrative assistance for the museum`s support groups (four curatorial groups and Museum Collectors Council), development, and member events. The successful candidate will have exceptional communication skills (written, digital and verbal), excellent ability to interact with all levels of staff and guests, and an ability to multi-task. Reporting to the Events Manager, and interacting with each of the associated curators and managers, the Events Coordinator, Museum Support Groups will facilitate the coordination of a wide variety of support group activities both at the Museum and off-site (lectures and/or symposia, artists` panels, curatorial salons, gallery talks with specialists, occasional ‘pop-up` small dinners and receptions, bus trips to area museums, visits to galleries and private collections– all including advance planning and day-of logistics), managing support group renewals and prospects, and maintaining support group communications. From time to time, there will be events in the greater Los Angeles region and/or the California central coast. The incumbent will be required to attend, organize, and facilitate these events. Working closely with the Event Manager, the role is also integral to the development department`s events, supportive of the exhibition openings, special member events, and annual gala fundraiser. Must also exercise a high degree of confidentiality and discretion.
This position requires a college degree (BA in with a major in the humanities or social sciences preferred), excellent customer service skills, advanced MS computer skills (Microsoft Word, Excel, Outlook), office and clerical experience, strong verbal and writing skills, strong research, excellent organizational abilities, and accounting experience. Experience in retail, hospitality, and events would be helpful in this position, as would a working knowledge of LA artists and galleries and exhibition spaces. It is essential to have careful attention to detail, a high level of accuracy and thoroughness, and the ability to take direction and responsibility with a pro-active, self-starting approach. The right person should be efficient, deadline-driven, task-oriented, resourceful, and reliable. The ideal candidate has the ability to work under pressure with many moving parts, organize and manage multiple priorities, problem solve, and the willingness to work some evenings and weekends, as needed. The role`s key activities include event preparation, calendaring, advance planning, timeline execution, communications with internal teams and museum supporters, and vendor coordination.
