The Corporate Engagement Coordinator is responsible for the operational and systems needs required to receive and process in-kind donations of medicines and other material items from healthcare manufacturing companies. The coordinator will process product offers, maintain database documents, and manage product designations using SAP ERP inventory management software.

Specific duties/responsibilities include:

  • Responsible for efficient and timely processing of product donations, from initial offer to product arrival and designation. Upload product offers and requests to CRM system, relay Pharmacy and Programs staff feedback to Corporate Engagement team, and advise healthcare companies of product offer acceptance/rejection
  • Upon product arrival, communicate with Operations team the correct healthcare company account number, ship-from account number, and product designation for product donations. Create new accounts within CRM system as needed
  • Verify ship-from licensing for product donations per Standard Operating Procedures. In case of invalid licensing, facilitate corrective action with Corporate Engagement team
  • Assist in facilitating the interoperable connections required for receipt of pharmaceutical serialized data for DSCSA Act compliance
  • Complete product donation proposals and other relevant documentation for donations of medical goods
  • Liaise with donor company staff to seek additional information on offers and or other required documentation (Packing Lists, Certificates of Analysis, etc.)
  • Liaise with Programs staff to record distribution plans for pending product offers, and relay to relevant healthcare company donor
  • Manage flow of inbound product and communicate weekly arrivals schedule to Operations staff
  • Communicate with healthcare companies to request documentation for international shipments
  • Coordinate with Logistics staff to fulfill requests for documentation and upload documents to SharePoint
  • Notify healthcare companies when product has been distributed in response to a disaster or emergency. During active emergency response efforts, review outbound shipments in SAP ERP system and seek shipment approval from healthcare companies as needed
  • Track status of product requests/inbound product donations during emergency response efforts and relay to relevant staff
  • Create donation purchase orders in SAP to efficiently and accurately process drop-shipped donations
  • Maintain and standardize healthcare company accounts and contacts in CRM database
  • Create new donor accounts, manage donors' geographic restrictions, attach MOU's and other relevant documents to accounts, and maintain key contact lists for each healthcare company
  • Track interaction with healthcare company donors. Aggregate and manage data on past and planned site visits, as well as companies' participation in key annual programs such as the Hurricane Preparedness Program, Strategic Emergency Stockpile, and access to medicines programs.
  • In coordination with Corporate Engagement team, research and gather feedback on donations for healthcare companies to circulate both internally and externally
  • Assist with ad-hoc requests for distribution reports related to a given time period, natural disaster, or geographic region
  • Prepare receipts for gift-in-kind donations for submission to healthcare companies
  • Gather content for inclusion on personalized GIS interactive maps for top healthcare company donors

Qualifications, knowledge, and skills include:

  • Experience in database administration, navigation, and data analysis
  • Experience in Microsoft Office – Excel and SharePoint
  • Strong communication skills
  • Experience with CRM; SAP data management preferred
  • Strong time management and organizational skills
  • Willingness to work additional hours during large natural disasters or emergencies
  • Attention to detail
  • Ability to work as part of a team
  • Must possess valid California driver's license
  • Must be able to pass alcohol/drug screening test
