Description
Position Summary
Responsible for gathering, compiling, processing, reporting, auditing, and filing documents, and data generated at multiple locations and/or within a profit center; Ensuring all information, documents, and data is processed in a timely and accurate manner; compliant with internal systems, processes, and procedures.
Position Responsibilities
• Collects and manages the flow of information, data and documents coming from quality control and field operations
• Receives, uploads and files Work Authorization forms and other project related documents
• Audits and communicates errors and missing data promptly to the Operations Team and shift leaders each day to ensure that all data is transmitted and received
• Develops and distributes customer data reports on specific defined schedule
• Inputs and organizes project data into Avionte, ensuring correct description, job number and all other information needed to accurately invoice the customer
• Inputs employee data within Avionte, including employee name, staffing agency, pay and bill rates, reporting and billing details
• Enters time and billing data into Avionte
• Creates a time and billing report and performs audits of the data to ensure invoicing and payroll accuracy
• Assists in data reporting, creating and maintaining data charts where needed
• Creates documents and reports utilizing MS OFFICE and other software programs
• Confirms that proper methods, procedures, and systems are used to perform work to the established criteria
• Provides timely information to staffing agencies, team members and management
• Updates and timely maintains starts and finishes of all employees and jobs within Avionte and any other document systems used
• Maintains compliance to ISO and other applicable standards
• Additional responsibilities as assigned
Essential Skills and Functions

• Must dress accordingly based on the job site and Global SQ requirements
• Background checks and/or drug tests may be required per company policy
• Motor Vehicle Report may be required per company policy
Physical Requirements and Work Environment
Work is typically performed in an office environment. When visiting industrial and manufacturing plant sites, the environment may range from very hot (>100 degrees) to very cold (<32 degrees). Depending on the plant site, exposure to industrial hazards such as machinery, material handling equipment, noise, chemicals, etc. is possible. All job site safety rules, policies, and procedures are to be followed at all times. Working conditions may also require brief periods of physical exertion that includes standing, walking, pulling, pushing, lifting, carrying, etc. Due to the documentation requirements, long periods (eight (8) hours per day) of keyboarding (i.e. typing), computer and telephone use is required.
