We are currently seeking a Virtual Real Estate Transaction Coordinator Assistant who is highly organized, detail-focused, and thrives working behind the scenes. This role is ideal for someone who enjoys structured workflows and is eager to grow into a full Transaction Coordinator position. This is a fast-paced, deadline-driven role with high standards for accuracy and follow-through. If you love checklists, clean files, and staying ahead of timelines, this could be an excellent fit. Position Details: • Location: 100% Remote • Type: Full-Time • Probationary Period: 3 months to evaluate performance, reliability, and team fit Work Schedule: This position includes evening and weekend coverage on an alternating schedule. Candidates must be dependable and available during assigned shifts to support transaction deadlines and client needs. Success in this role requires the ability to: • Follow SOPs and checklists consistently • Meet deadlines without reminders • Produce accurate work with minimal revisions • Maintain clean, complete, and compliant transaction files This Role Is a Great Fit If You… • Naturally, double-check your work before submitting • Enjoy structured workflows and organized systems • Catch issues before they become problems • Want to build a long-term career in transaction coordination • A summary of your transaction or real estate administrative experience You'll Love This Role If… • Accuracy matters to you • You're comfortable working under deadlines • You enjoy checklists, structured systems, and clean files This Role Is Not a Fit If… • You dislike detailed administrative work • You frequently miss deadlines or overlook small details • You prefer unstructured work without established processes Responsibilities: • Manage administrative aspects of real estate transactions from pre-contract through closing • Prepare and draft representation agreements, offer templates, and supporting documents • Proactively identify missing documents, errors, or issues before they escalate • Track transaction timelines, deadlines, and milestones with strong follow-through • Enter and maintain accurate listing and transaction data in MLS and CRM systems • Schedule inspections, photography, and other transaction-related appointments • Collect, organize, upload, and maintain transaction documents for compliance • Submit documentation to brokers for file compliance and maintain a well-organized digital file Qualifications: • Minimum 2 years of experience in transaction coordination or real estate administration • Experience with Texas Real Estate • Ability to work evenings and weekends on an alternating schedule • Strong organizational, time management, and multitasking skills • Excellent written and verbal communication with a service-oriented mindset • Close attention to detail with strong problem-solving and follow-through • Fast, accurate typing and written communication skills • Proficiency with MLS and transaction/CRM platforms (Dotloop, Skyslope, Jointly, Salesforce, or similar) • Reliable, proactive, motivated, and accountable Education: • High school diploma or GED required; some college coursework preferred Compensation: $6 - $8 hourly
