Base pay range

$55,000.00/yr - $75,000.00/yr

We are a management accounting firm, based in Santa Barbara, Calif., looking to add a California Payroll Associate to our team. The Payroll Associate plays an important role in the organization by performing a number of activities related to the company's Payroll functions. The role is mainly responsible for performing payroll functions and processing payrolls on a daily/weekly basis along with additional administrative duties pertaining to payroll.

Due to the remote nature of the position, must be able to self‑motivate, get it done and juggle multiple concurrent deadlines. Extreme attention to detail is required.

Job Duties

  • Prepare and distribute manual paper checks when necessary on a daily basis. Ensure all manual checks are entered into banking system.
  • Ensure all processes pertaining to final checks are completed (e.g. ending deductions, entering data in all systems required, calculating time card properly, ensuring accrued paid time off is paid properly, etc.). Understand deadlines for final checks per state laws.
  • Assist in auditing all personal information and changes that were entered before and after payroll is processed.
  • Review timecards for hourly employees to ensure accuracy. Help in exporting hours for the payroll process. Research and report differences discovered in the organization's payroll and attendance software systems to the Payroll Manager.
  • Adhere to all local, state and federal regulations and guidelines regarding payroll maintenance. Verify, calculate, and process wage attachment in accordance with local, state and federal laws.
  • Research and respond to client inquiries on system access, wages, paychecks, swipes in timekeeping system and accrued benefit time earned.
  • Review payroll reports for completeness and accuracy. Research and resolve payroll discrepancies.
  • Scan and file all personal documents into the HRIS system.
  • Assist in monitoring the payroll email address and answer payroll questions.

Job Qualifications

  • High school diploma or equivalent.
  • 2+ years of in‑house payroll processing and administration experience within a high volume, multi‑state, corporate environment.
  • Knowledge of California payroll and multistate.
  • General understanding of required compliance with legal, regulatory, and financial requirements governing functional tasks and activities.
  • Experience with Paychex, Paycom, Quick Books or ADP Software is preferred.
  • Strong interpersonal skills.
  • Good time management and communication skills.
  • Highly organized and detail oriented; ability to work in a fast‑paced, metrics‑driven environment required.
  • Ability to multi‑task and support day‑to‑day activities while managing customer inquiries.
  • Ability to maintain confidentiality.
