Job Overview
The Client Services Associate provides high-quality office and mailroom support, ensuring efficient daily operations and exceptional service to all employees. Key responsibilities include handling inbound/outbound mail, managing packages, assisting with shipping and receiving, maintaining office supply inventory, supporting copy/print equipment, providing occasional reception coverage, and performing light maintenance or cleaning tasks. This role consistently upholds a professional image while delivering prompt, courteous, and reliable service.
Duties & Responsibilities
Deliver 5-star customer service across all communication channels
Receive, sort, and track inbound mail and packages
Manage outbound mail and package processing
Perform shipping/receiving duties and notify staff of deliveries
Distribute mail and serve as the point of contact for inquiries
Operate and maintain multifunction devices (copy/print equipment)
Submit work orders when needed
Replenish and maintain pantry, kitchen, conference, and meeting spaces
Support meeting room setups and internal office moves
Maintain cleanliness and order in the business service center
Monitor and restock office supplies
Assist with copy/print jobs and ensure equipment functionality
Proactively seek additional tasks during downtime
Provide reception/concierge coverage as needed
Help train backup support and guide others on procedures
Handle sensitive inquiries with professionalism and discretion
Competencies
Strong verbal and written communication skills
Excellent customer service abilities
Proficient in Microsoft Office Suite
Ability to multitask and stay organized
Familiarity with MFD/copier equipment
Knowledge of shipping/receiving processes
Ability to work independently and complete tasks accurately
Strong attention to detail and problem-solving skills
Qualifications
High school diploma or equivalent required
1+ year of prior work experience preferred
Ability to work the assigned schedule
Strong organizational and time-management skills
Professional appearance and demeanor
Ability to learn and use computer-based systems
Physical Requirements
(Approx. 50% of the time)
Ability to lift/move 40-60 lbs. using proper equipment
Ability to walk, bend, kneel, stand, or sit for extended periods
Manual dexterity to operate office equipment
