Base pay range

$90,000.00/yr - $100,000.00/yr

Position: Executive Assistant

Employment Type: Full-Time

Salary range: $90,000 – $100,000

Key Responsibilities

  • Manage complex and frequently changing executive calendars, coordinating meetings, calls, events, and deadlines across internal and external stakeholders.
  • Oversee meeting logistics, including preparing materials, managing RSVPs, coordinating technology setup (video conferencing, collaboration platforms), and greeting participants.
  • Draft, edit, and proofread business and legal correspondence in alignment with firm standards and templates.
  • Coordinate with administrative staff to ensure timely preparation and filing of legal documents and other deliverables.
  • Arrange domestic and international travel, including itinerary management and briefing documentation.
  • Serve as a liaison with clients and internal teams, providing professional telephone and email support.
  • Prepare the executive for meetings by compiling briefing materials and tracking action items.
  • Act as a trusted delegate, handling requests and communications on behalf of the executive with discretion.
  • Maintain and update contact databases, fostering positive relationships with clients and colleagues.
  • Provide general administrative and operational support as needed.

Qualifications

  • Minimum of 7 years of Executive Assistant experience, preferably within a law firm or professional services environment supporting senior-level leaders.
  • Proven success managing high-volume, fast-paced workflows with competing priorities.
  • Experience handling confidential information with discretion and sound judgment.
  • Strong written and verbal communication skills with the ability to engage professionally across multiple communication channels.
  • Demonstrated problem-solving abilities and comfort operating independently under pressure.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint); familiarity with document management system is a plus.
  • Highly detail-oriented, organized, and adaptable in a vigorous professional environment.
