Partner Services Representative

Description:

The Partner Services Representative plays a pivotal role in all Thee Square food distribution programs, focusing on enhancing the capacity and impact of Three Square' partners. This position is responsible for building and sustaining strong relationships with over 150 partner organizations, developing personalized strategies to support their growth, and ensuring they are equipped to better serve our community. The Partner Services Representative leads initiatives that strengthen our Partner network, promote compliance, and create innovative solutions to meet the needs of our diverse community.

Requirements :

Partner Relationships and Capacity Building

  • Build rapport, trust, and respect with partners through regular, personalized communication and excellent customer service.
  • Use partner self-assessment data, dashboards, and other tools to identify strengths and challenges, offering tailored solutions to enhance efficiency and stability.
  • Develop and implement capacity-building strategies, including :
    • Identifying and addressing equipment needs
    • Creating and sharing toolkits to help partners adopt neighbor-centered distribution practice.
    • Supporting partner workshops, webinars, and convenings
    • Facilitating group discussions to explore key topics, challenges, and solutions
    • Collaborate with internal departments to develop regional strategies for closing the meal gap
    • Partner implementing new technologies and adopting innovative practices to improve their operations

Partner Administrative and Operational Efficiency

  • Oversee administrative tasks, including :
    • Onboarding and orientation
    • Maintaining and updating delivery schedules
    • Ensuring accurate records and data management for compliance and audit readiness
    • Facilitate order fulfillment and delivery coordination between Partners and internal departments (e.g., Transportation, Warehouse, Procurement).
    • Addressing Partner challenges promptly and effectively, ensuring positive and productive relationships
    • Provide direct communication and real-time support for partners regarding deliveries, order discrepancies, and other urgent needs. Collaborate closely with Partner Compliance Team to support adherence to compliance standards
    • Maintain up-to-date partner records, including contact details and operational information.

Partner Marketing and Communication

  • Support efforts to collect and share neighbor success stories and partner achievements.
  • Serve as a liaison between partners and internal teams to strengthen communication and collaboration

Partner Feedback and Resource Sharing

  • Facilitate feedback sessions, listening forums, and surveys to gather partner insights and identify areas for improvement
  • Develop and share resources, best practices, and tools that help Partners improve capacity and service delivery
  • Foster a culture of collaboration by connecting Partners that have similar challenges or opportunities

Special Projects and Leadership

  • Represent the organization at community events and Partner convenings
  • Participate in webinars, training, and professional development opportunities to stay informed about best practices in food banking and partner support

Physical Demands & Work Environment :

  • Ability to lift 25-50 pounds.
  • Regular driving throughout Clark County and occasional driving in the rural areas such as Nye, Lincoln and Esmeralda counties to visit Partner locations.
  • Extended periods of sitting while using a computer or phone.
  • Work in offices, warehouses, and outdoor settings like parking lots, occasionally exposed to the elements, supporting mobile and fixed food distributions.
  • Evening or weekend hours may be required.

Required Qualifications :

  • Education : High school diploma or equivalent
  • Customer Service Experience : 5+ years of experience in customer-facing roles, with preference for those involving relationship management or logistics.
  • Language (preferred) : Bilingual in English and one of the following : Spanish or Tagalog
  • Skills :
    • Proficiency in Microsoft Office Suite and database management
    • Strong project management skills and ability to meet deadlines
    • Excellent verbal and written communication, including public speaking and proposal writing.
    • Skilled in data entry and managing complex databases.
    • Strong organizational and time-management abilities.
  • Other :
    • Valid driver's license and personal vehicle with insurance for business use.
    • Ability to pass a criminal background check and drug and alcohol screening.

Additional Skills & Abilities :

  • Communication : Excellent verbal and written communication skills, including presenting to large groups and responding to feedback.
  • Leadership : Able to lead externally and internally, especially when responding to requests or directing projects.
  • Resource Management : Excellent time management skills and the ability to prioritize tasks in a busy environment.
